1. Acceptance of Terms

By accessing and using asFleet.com ("the Service"), operated by AppRoots ("we", "us", or "our"), you accept and agree to be bound by the terms and provision of this agreement. If you do not agree to these terms, please do not use the Service.

2. The Service

asFleet.com provides fleet management features that may include vehicle and maintenance management, fuel tracking, driver management, document storage, alerts, trips/jobs tracking, vendor management, downtime tracking, expense tracking, analytics, reporting, exports, and API access. Features vary by subscription plan and may change over time.

You are responsible for ensuring the accuracy of the information you enter and for using the Service in compliance with applicable laws and regulations.

3. Use License & Acceptable Use

Permission is granted to temporarily use asFleet.com for personal or commercial fleet management purposes. This is the grant of a license, not a transfer of title, and under this license you may not:

  • Modify or copy the materials
  • Use the materials for any commercial purpose without explicit permission
  • Attempt to reverse engineer any software contained in asFleet.com
  • Remove any copyright or other proprietary notations from the materials
  • Upload malicious code, attempt unauthorized access, or interfere with the Service
  • Use the API in a way that degrades performance, bypasses rate limits, or violates our security controls

4. Subscription and Billing

Subscriptions are billed on a monthly or yearly basis. You may cancel your subscription at any time. Cancellation will take effect at the end of the current billing period. No refunds are provided for partial billing periods.

Payment processing is handled by Paddle.com, who acts as our merchant of record. You authorize us and Paddle to charge the payment method you provide in accordance with your chosen plan. For more information about payment processing and refunds, see our Refund Policy.

5. Your Data, Uploads, and API Keys

You retain ownership of the data you submit to the Service (“Customer Data”), including fleet records, fuel entries, expenses, trip and downtime logs, driver information, vendor information, and documents you upload.

  • Documents & uploads: You are responsible for ensuring you have the right to upload and store any files, images, or documents.
  • Driver information: If you store personal data about drivers, you confirm you have a lawful basis to do so and will provide any required notices.
  • API keys: If API access is enabled for your plan, you are responsible for keeping API keys secure, rotating them when needed, and limiting access.
  • Exports: Exported files may contain sensitive data; you are responsible for how exported data is stored and shared once downloaded.

We handle Customer Data in accordance with our Privacy Policy.

6. Availability, Notifications, and Third-Party Services

The Service may send notifications (in-app and/or email) based on your configuration and plan. Notifications may be delayed due to network or provider issues.

Certain features may rely on third-party services (for example, payment processing, email delivery, or file storage). We are not responsible for outages or failures caused by third-party providers outside of our reasonable control.

7. Termination

You may stop using the Service at any time. We may suspend or terminate access if we reasonably believe you have violated these Terms, used the Service unlawfully, or created a security risk. Upon termination, your access to paid features may end, and data retention/deletion will be handled according to the Privacy Policy.

8. Limitation of Liability

asFleet.com is provided "as is" without warranties of any kind. We are not liable for any damages arising from the use or inability to use the service.

9. Changes to These Terms

We may update these Terms from time to time to reflect changes to the Service, including new features. Continued use of the Service after changes become effective constitutes acceptance of the updated Terms.
