A practical guide for fleet owners and operations teams using asFleet.com.
1. What asFleet helps you achieve
asFleet is designed to help you run a safer, more reliable, and more profitable fleet. It brings your daily operations—vehicles, maintenance, fuel, expenses, documents, alerts, and reporting—into one place so decisions are based on facts instead of guesswork.
- Fewer breakdowns through preventive scheduling and timely alerts.
- Lower operating costs by tracking fuel, downtime, and expenses with clear analytics.
- Better compliance by managing documents and expiry dates in one workflow.
- Cleaner operations with consistent records and fewer errors in daily reporting.
2. Getting started (recommended setup)
A strong setup improves accuracy from day one. Most teams can complete this in 30–60 minutes.
- Add vehicles: plate number, model, year, current mileage, and status.
- Create maintenance schedules: define service intervals (km/days) per vehicle.
- Add key documents: registration, insurance, inspection—include expiry dates.
- Add drivers (if applicable): profile and license expiry dates.
- Set vendors: workshops, towing services, fuel stations, parts suppliers.
Tip: Use real-world names your team already recognizes (e.g., “Main Workshop – Downtown”) to reduce input errors.
3. Daily workflow (how most fleets use asFleet)
Morning check (5 minutes)
- Open Alerts to review urgent items and upcoming due dates.
- Check Documents for expiring items.
- Review Operations Dashboard KPIs (cost, utilization, compliance).
During the day
- Log Fuel immediately after fill-up (odometer + quantity + cost).
- Log Expenses when they happen (category + amount + vendor).
- Record Downtime when a vehicle is unavailable.
End-of-day review (10 minutes)
- Confirm mileage updates (avoid gaps that affect fuel efficiency).
- Close completed downtime logs and trips.
- Verify today’s maintenance records and receipts/links.
Weekly review (30 minutes)
- Use Analytics Dashboard to spot high-cost vehicles and trends.
- Review expenses by category and vendor.
- Plan maintenance for next week to avoid emergency repairs.
Vehicle Comparison (decision-making tool)
Use Dashboards → Vehicle Comparison to compare vehicles side-by-side and identify which vehicles are costing you the most. This is one of the fastest ways to decide whether to repair, reassign, or replace a vehicle.
- Select vehicles (or leave empty to compare all vehicles).
- Choose a date range (example: last 30 days) so comparisons are fair.
- Compare by Total Cost, Fuel Cost, Expenses, Maintenance, Downtime Cost, or Cost per km.
- Optional currency filter: set this if your fleet operates in more than one currency.
- Print a professional report using the Print button for reviews, audits, or management meetings.
Practical interpretation: High cost/km often indicates hidden issues (frequent repairs, inefficient fuel usage, or downtime). A vehicle with high downtime reduces revenue capacity even if direct costs look low.
4. Tenant Admin side menu (what each section offers)
In the Tenant Admin panel, the side menu is grouped so your team can quickly find the right tools. Most fleets use these groups every day:
Dashboards
Fast summaries for owners and managers—use these first to understand today’s risks and costs.
- Dashboard: high-level KPIs and upcoming items.
- Operations: alerts, expiring documents, UAE Compliance due, and operational readiness.
- Analytics: trends for cost, maintenance, and fleet efficiency.
- Vehicle Comparison: compare vehicles by cost, fuel, downtime, and cost per km for better decisions.
- Reseller: your plan, MRR, fleet size, and suggested resale at reseller tiers (with link to reseller pricing page).
Fleet
Day-to-day fleet operations. This is where most teams spend time entering and reviewing records.
- Vehicles: core asset list, status, mileage, UAE/RTA fields (plate expiry, RTA inspection, chassis/engine), and quick actions.
- Fleet Map: live map of vehicles with last known position; pins colored by maintenance status (green/amber/red).
- Drivers: driver profiles, license dates, and assignments.
- Trips: trip/job logs to track utilization and movement.
- Fuel Entries: fuel logs that power fuel efficiency and cost analysis.
- Expenses: all operating costs (tolls, parking, repairs, etc.).
- Downtime Logs: when vehicles are unavailable, with reasons and costs.
- Service Providers: your vendor directory (workshops, towing, etc.).
Maintenance
Preventive planning and compliance. Use this group to reduce breakdowns and avoid surprises.
- Maintenance Schedules: planned servicing intervals and next due dates.
- Maintenance Records: completed work history and service costs.
- Documents: compliance items with expiry dates and document links.
- Alerts: automatically generated reminders and risk signals (including UAE plate expiry and RTA inspection due).
From Vehicles, use the RTA Report button to generate an RTA-style fleet report (PDF-ready, Arabic/English).
Settings
Account and access management. Keep this tidy to reduce mistakes and protect your data.
- Users: invite team members and control access.
- Subscription: plan status and billing details.
- Plan & Features: what your current plan includes.
- Company Settings: organization details and preferences.
- API Access: API key and documentation (if enabled).
- Priority Support: faster assistance (if included in your plan).
- Feedback & Suggestions: submit feedback, report bugs, and earn rewards for approved suggestions.
Note: menu items can vary depending on your subscription plan and enabled features.
5. How to use asFleet for maximum results (best practices)
The side menu shows where each tool lives. This section focuses on how to use the platform effectively—in a way that stays accurate, reduces errors, and improves profitability over time.
Alert Email Notifications (recommended)
You can send important alerts to email automatically so nothing is missed when your team is away from the dashboard. Configure this from Settings → Company Settings → Alert Email Notifications.
- Recipients: Company email, all company users, or owners & managers only.
- Minimum severity: High or Critical (recommended: High).
- Delivery: Immediate (per alert), Daily digest, or both.
- Digest time: set a daily time in your company timezone (example: 08:00).
Tip: Keep company email updated in Company Settings if you choose the Company Email recipient option.
Prevent breakdowns (preventive discipline)
- Review Alerts daily and resolve high‑risk items first.
- Keep schedules realistic (km/days) and update after major repairs or vehicle reassignment.
- Record completed work the same day so history stays reliable for audits and resale value.
Control costs (no hidden spending)
- Log fuel and expenses on the same day to prevent missed items and wrong reports.
- Use consistent categories so analytics stays clean and comparable across months.
- Review weekly trends—look for vehicles with unusually high cost per km/mile.
Stay compliant (avoid penalties)
- Enter document expiry dates correctly and keep a valid sharing link for each document.
- Resolve document alerts early (renewals often take longer than expected).
- Keep driver license dates up to date if your operation requires compliance tracking.
Run error‑free operations (team habits)
- Standardize names (vehicles, vendors, categories) so your team enters data consistently.
- Assign clear responsibilities (who logs fuel, who closes downtime, who reviews alerts).
- Use dashboards for quick decisions and analytics for deeper review.
Recommended KPI routine (simple and effective)
For most fleets, reviewing these KPIs weekly is enough to stay on track:
- Cost per km/mile (fleet + worst 5 vehicles)
- Downtime hours (top reasons and repeat vehicles)
- Maintenance compliance (on‑time vs overdue)
- Fuel efficiency trend (identify abnormal consumption)
6. Accuracy: how to keep data reliable
asFleet is only as accurate as the data entered. The good news: small habits create big improvements.
- One source of truth: always log fuel, expenses, downtime, and maintenance in asFleet (not in scattered notes).
- Same-day entry: enter records the day they happen to reduce missing costs.
- Consistent naming: use the same vendor names and categories across the team.
- Odometer discipline: update mileage regularly to prevent incorrect fuel-efficiency reporting.
- Document dates: expiry date accuracy prevents last-minute compliance risks.
7. Profitability: how fleet owners become more profitable
Most fleet profit leaks come from unplanned downtime, fuel inefficiency, and untracked expenses. asFleet helps you find and fix those leaks with visibility and consistency.
- Reduce emergency repairs by following preventive schedules (lower cost and less downtime).
- Improve fuel efficiency by spotting vehicles with abnormal consumption early.
- Negotiate better vendor pricing using real cost history and repeat-issue data.
- Identify high-cost vehicles and decide whether to repair, reassign, or replace.
- Operate with fewer surprises by planning maintenance and renewals ahead of time.

8. Feedback & Rewards System
asFleet values your input. The feedback system lets you contribute to platform improvements while earning rewards for valuable suggestions.
How it works
- Submit feedback: report bugs, suggest improvements, or share general feedback.
- Earn points: every submission earns points for your company.
- Get reviewed: admin reviews submissions and marks "best" suggestions.
- Receive rewards: approved "best" suggestions can earn free upgrades or extra months.
Best practices
- Be specific: describe the business benefit or impact clearly.
- Include details: for bugs, provide steps to reproduce and page URLs.
- Add context: explain how the suggestion improves fleet operations.
- Track status: monitor your submissions and rewards in the feedback dashboard.
Reward types
When your suggestion is marked as "best" and approved by admin, you may receive:
- Free plan upgrade: upgrade to a higher plan at the same price (e.g., from Starter to Business).
- Extra free months: additional months added to your current subscription period.
Access the feedback system from the Settings menu in your tenant admin panel, or visit the Feedback page directly.
9. UAE & RTA Compliance
For UAE fleets, asFleet includes RTA-ready fields and reports so you can stay compliant and satisfy inspectors.
- UAE vehicle fields: When adding or editing a vehicle, open the UAE / RTA Compliance tab. Enter plate emirate (e.g. DXB, AUH), plate expiry date, RTA inspection due date, chassis number, and engine number. Plate expiry and RTA dates trigger automatic alerts at 30 and 7 days before due.
- RTA Report: From Fleet → Vehicles, click the RTA Report button in the header. The report shows all vehicles with plate, chassis, engine, plate expiry, RTA inspection due, last service, and maintenance summary. Use
?lang=arin the URL for Arabic labels and RTL layout. Print or save as PDF for audits. - UAE Compliance widget: On Dashboards → Operations, the “UAE Compliance Due” widget lists vehicles with plate expiry or RTA inspection due within 30 days (or overdue). Use it for a quick morning check.
10. Fleet Map & GPS Integration
The Fleet Map shows vehicle positions on a map with pins colored by maintenance status. Locations are updated when your GPS provider (or your own system) pushes data to the asFleet API.
- Where to find it: Fleet → Fleet Map. The map centers on your vehicles if they have location data, or on a default region if not.
- Pin colors: Green = healthy (no urgent maintenance or compliance due). Amber = warning (something due within 30 days). Red = critical (overdue maintenance, plate, or RTA inspection).
- How locations get there: Use your API key to send location updates. Single vehicle:
POST /api/v1/vehicles/{id}/locationwith body{ "lat": 25.2, "lng": 55.27 }. Bulk:POST /api/v1/vehicle-locationswith{ "locations": [ { "vehicle_id", "lat", "lng" } ] }. Any GPS provider (e.g. Flotilla, IOTee) can integrate this way. - Vehicles without location data still appear in the “Fleet status” list on the same page with their status color.
11. Reseller Program
If you white-label or resell asFleet to your clients, use the reseller pricing page and in-app Reseller dashboard to see your margins and suggested resale.
- Reseller pricing page: Visit Reseller Pricing (also linked from the site footer). It shows four tiers (Starter $4 to Unlimited $10 per vehicle/month) and an interactive Profit calculator: enter number of vehicles and your markup % to see your cost, suggested resale, and profit per month.
- Reseller dashboard (in app): Dashboards → Reseller shows your current plan, your MRR, fleet size, and suggested resale total at the reseller tier that applies to your fleet size. Use it for a quick overview and follow the link to the full reseller pricing page and calculator.
